Initial Challenges

Golden State Foods faced a complex and fragmented contingent workforce program that lacked standardization, transparency, and centralized oversight. Each staffing partner operated under different contractual terms, leading to inconsistent pre-assignment compliance, scattered invoicing practices, and little visibility into critical data like fees, tenure, and contingent headcount. This disjointed system made it nearly impossible for internal stakeholders to track spend, ensure proper documentation, or understand vendor performance.

Another major pain point was financial reporting and timekeeping. With multiple staffing firms submitting separate invoices and using various systems, Golden State Foods struggled to consolidate costs across cost centers. Their newly implemented timekeeping tool—UKG Workforce Management (WFM)—was not integrated with their staffing workflows, which resulted in invoicing discrepancies and administrative burden.

Golden State Foods adopted the RecruitiFi platform to centralize and standardize all aspects of their contingent workforce management. RecruitiFi unified all staffing partners under a common contract, and enabled the company to define standard pre-assignment requirements that could be selected and enforced appropriately for each contract. With a centralized location for real-time status tracking and access to supporting documentation, Golden State Foods was able to eliminate all the administrative guesswork and manual follow-ups.

Visibility and reporting

RecruitiFi’s Vendor Management System (VMS) functionality gave Golden State Foods full transparency into their contingent workforce data. Bill rates, vendor markups, insurance minimums, start dates, and worker tenure are now all visible on simplified dashboards. RecruitiFi’s reporting capabilities delivered unprecedented transparency, empowering the procurement and HR teams to turn workforce data into actionable insights that supported long-term strategic planning and reduced overall spend.

Integration and data flow

One of the most transformative changes came through RecruitiFi’s seamless integration with UKG Workforce Management (WFM). By connecting directly with their WFM timekeeping platform, Golden State Foods was able to use RecruitiFi for its treasury function, eliminating invoicing errors and ensuring billing accuracy. Instead of juggling dozens of invoices from multiple staffing firms, Golden State Foods now receives one invoice per cost center each week, complete with approved timesheets, detailed CSV breakdowns by worker, hours worked, bill rates, and custom WFM fields. This efficiency extends to the vendors as well—who can access downloadable hours reports that clarify how hours were calculated for any timesheet, promoting trust and transparency.
